Information Clause on the Protection of Personal Data

Pursuant to Articles 13 and 14 of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, hereinafter GDPR), please be informed that:

  1. The controller of the personal data of the conference participant is Koszalin University of Technology, ul. Śniadeckich 2, 75-453 Koszalin, Poland;
  2. Providing personal data is necessary for organizing, documenting, and settling the 15th IFAC Workshop on Intelligent Manufacturing Systems at Koszalin University of Technology (hereinafter referred to as the Conference), as well as for publication in conference materials;
    • The participant’s personal data will be processed for the following purposes and on the following legal bases:Article 6(1)(c) of the GDPR — i.e., personal data is processed to fulfill a legal obligation incumbent upon the controller, which is the organization of the Conference;
    • Article 6(1)(a) of the GDPR — i.e., personal data is processed solely based on previously given consent, within the scope and purpose defined in the consent, and in accordance with the Act on Copyright and Related Rights (consolidated text: Journal of Laws of 2022, item 2509), in the case of processing the participant’s image;
    • Article 6(1)(f) of the GDPR — i.e., processing is necessary for the purposes of legitimate interests pursued by the controller, including: when applicable, in relation to legal proceedings, proceedings before public authorities or other proceedings, for the purpose of pursuing or defending against claims, and for debt collection. The legitimate interest of Koszalin University of Technology is the establishment, exercise, and defense of mutual claims;
  3. The scope of processed personal data includes the information provided in the registration form;
  4. The participant’s personal data will be processed for the time necessary to organize, conduct, and settle the Conference, after which it will be archived and any redundant data will be deleted to the extent possible;
  5. The recipients of the data will be entities authorized to receive personal data under the provisions of law only;
  6. The participant has the following rights regarding the processing of their personal data:
    • the right of access to personal data;
    • the right to request the rectification of inaccurate or incomplete personal data;
    • the right to request restriction of personal data processing;
    • the right to object to the processing of personal data, where the processing is based on the necessity for purposes resulting from the legitimate interests of the controller;
    • the right to request the erasure of personal data in the case of consent for the processing of the image;
    • the right to withdraw consent to data processing at any time.
  7. Withdrawal of consent does not affect the lawfulness of processing based on consent before its withdrawal in the case of image processing;
  8. The participant’s data will not be processed in an automated manner or subjected to profiling;
  9. Personal data will not be transferred to a third country or international organization;
  10. A Data Protection Officer has been appointed at Koszalin University of Technology. They can be contacted via traditional mail at the address provided in point 1 or via email at: dpo@tu.koszalin.pl;
  11. The participant has the right to lodge a complaint with the President of the Personal Data Protection Office if they believe that the processing of their personal data violates the provisions of EU Regulation 2016/679 of 27 April 2016.
